Image Download Mode Help
Image Download Modes
Headshot Tools allows you to control which images are downloadable within your galleries via the “Image Downloads” setting found in your Job Add and Job Edit pages. This setting is global to your entire job, which means that the mode you select will apply to both participant’s individual galleries and the full gallery. To change your Image Downloads mode:
- Navigate to the job you want to modify.
- Click the three vertical dots icon in the “Job” panel.
- Click “Edit Job”.
- Select the “Image Downloads” mode you prefer.
- Click “Edit Job” at the bottom of the form to save your settings.
No Image Downloads Are Allowed
When you select this mode, no images in any galleries are downloadable. This mode is useful when you’re only providing galleries for proofing / selection, or you simply want to prevent your client / participants from downloading before receiving a check. Like all the download modes, this setting applies to both the individual participant galleries and the full gallery. You can see more about watermarking here.
All Images Can Be Downloaded
This mode allows all images in any gallery to be downloaded. Please make sure this is what you are intending before choosing this mode. Image Security Watermarks are not available in this mode because all images are freely available for download.Only Retouched Images Are Downloadable
This mode is best when you’re utilizing our "Image Retouch Selection" options from the Job Add / Job Edit forms. In this mode, only images with a filename that ends with “-Retouched.<file extension>” are downloadable. For example:Smith_John_123-0001.jpg – Download Not Allowed
Smith_John_123-0001-Retouched.jpg – Download Allowed
See more about file naming here.
The Image Security Watermarks option for this download mode operates slightly different from the other modes.
- Not-downloadable / not-retouched images will receive a watermark. This is so these images remain protected.
- All downloadable “-Retouched.<file extension>” images will not receive a watermark. This is because these images are freely available for your participants to download.
Only X Number Of Images Are Downloadable
Use this mode to limit your participant’s downloads to a set number of choices you specify. For example, you can deliver a gallery to a participant, having them choose 1 image for download. After a participant chooses their allowed image(s), the “Download All” button will appear giving them the ability to download a zip file of their choices. They are also able to download images one by one if they desire. This mode contains some sub-options:
How Many Downloads Is A Participant Limited To? –
This field limits the number of download choices a participant can make. Please set this field to a realistic number of choices. Setting this number to something like 999 can cause confusion and prevents the “Download All” button from appearing. If you want to provide unlimited downloads to the entire gallery, we recommend using the “All Images Can Be Downloaded” mode instead.
You can see more about watermarking here.
You can learn more about overriding this value for participants here.

The download choices made in this mode are only downloadable within this mode or the “Only X Number Of Images Are Downloadable And Additional Downloads Can Be Purchased” mode. No other Image Download modes will present completed participant download choices as available for download.
You may have a participant request that they change their choice after it’s been made. To remove a choice, navigate to that participant’s shoot detail page and delete the file they chose. This will remove the image from their gallery and allow them to make a new choice.
Please Note: This mode is currently not compatible with the “Image Retouch Selection” option. In order to utilize this download mode, you must have “Image Retouch Selection” set to “Deactivated”. Please do not attempt to switch back and forth between the modes to perform both retouching purchases and limited download choices. You will run into situations that do not work. See this page for more information.
Only X Number Of Images Are Downloadable And Additional Downloads Can Be Purchased
Similar to our "Image Retouching Selection" options, this mode allows you to limit participants to a set number of free "as is" downloads with the option to purchase additional “as is” images. We say “as is” specifically here because purchases in this mode will unlock downloading of the original uploaded image. This gives participants the ability to purchase any image files for download they see in their gallery. No retouching workflow needed! To use this mode a connected Stripe account is required.
This mode contains some sub-options:
How Many Downloads Are Included Free Of Charge? –
This field allows you to set how many images a participant can download for free. If no images are included for free, simply enter zero. Otherwise, supply a realistic number of images you want to provide for free. This mode will require participants to exhaust their free choices before they are allowed to purchase additional downloads. Setting a number like 999 would make it unlikely that a participant would ever be able to purchase additional images. You can learn more about overriding this value for participants here.
How Much Do You Charge For A Single Image Download? –
This field allows you to set the price and currency per image of additional "as is" image purchases. Please note that unlike the retouching selection mode options that look similar, these are for “As Is” downloads. You do not have to fulfill these orders. Immediately after purchasing, Headshot Tools will make these images downloadable for your participant. For more info on currency choices see our payment setup page.
Do You Want To Sell All Image Downloads For A Bulk Price? –
This field allows the ability to also sell download purchases of all the images within a participant's gallery for one bulk price. Enabling this field will expand additional inputs where you can specify the price you wish to receive for all image downloads within a participant's gallery. Please note that unlike the retouching selection mode options that look similar, these are for “As Is” downloads. You do not have to fulfill these orders. Immediately after purchasing, Headshot Tools will make these images downloadable for your participant. You can learn more about "Buy All" purchases here.
