How To Connect Stripe For Payments

Headshot Tools has integrated with Stripe.com to allow you to accept payments within your Headshot Tools galleries. To connect Stripe, navigate to the "Account" page on the left of the screen. Here you will find the Stripe Payments Integration panel.

First Time User Connection Instructions
Click the “Connect Stripe” button. This will allow you to either create a brand new Stripe account if you don’t have one already or create a new sub-account within your existing Stripe account. Headshot Tools and Stripe both recommend using a completely isolated and secure Stripe account or Stripe sub-account with Headshot Tools. This ensures that you are never exposing any information about other areas of your business to Headshot Tools.

Returning Headshot Tools User Instructions
If you previously had a Headshot Tools account that you prior connected to a Headshot Tools specific Stripe account, please click the reconnect link at the bottom of the Stripe Payments Integration panel. This will allow you to reconnect Headshot Tools to the existing account. Please Note: Stripe and Headshot Tools do not recommend connecting Headshot Tools to shared Stripe account that you use for other areas of your business as it exposes information to Headshot Tools that is unnecessary and may not function properly in certain instances.

After either of the above options, Stripe will ask you some onboarding questions. Continue through the process until you are redirected back to the Headshot Tools account page.

-If the connection was successful, the Stripe Connection Status will read “Connected”.
-If your status reads otherwise, you may have to wait for Stripe to verify your identity. If you’re still not connected after a minute or two and have refreshed a few times, try clicking “Resume Connecting Stripe” to continue any onboarding. You may have to answer additional questions from Stripe.

Enable Retouching Purchases

Headshot Tools offers the ability for participants to purchase image retouching directly from their gallery.

To enable this feature:

1. Connect Stripe as mentioned above (you only have to do this once).
2. Add a new job or edit an existing job.
3. Set the “Image Retouch Selection” dropdown to “Allow Participants To Select And Purchase Images For Retouching”
4. and fill in the remaining options below.

How Many Retouched Images Are Included Free Of Charge?
Fill this input in with the number of images that are provided to an individual participant without cost. Providing a positive number here will allow your participant to first pick their included images within their gallery. Once complete, a shopping cart will enable for additional purchases.

If all image retouching needs to be purchased, then enter 0. In this situation, a participant will be shown their shopping cart immediately upon viewing their gallery.

How Much Do You Charge For A Single Retouched Image?
Fill this input in with the amount you want to charge per retouched image.

If you are operating with currencies that are not USD, please try to avoid denominations that are overly small (Under $1 USD Equivalent). Due to currency conversion rates, it is possible that a very small foreign currency may be below Stripe’s minimum payment threshold and your participant wouldn’t be able to check out.

-When Automatic Sales Tax is activated, this number is the base price without Tax. Stripe will later determine the correct tax amount and apply it in addition to the entered amount.

-When Automatic Sales Tax is deactivated, you can either calculate a price inclusive of tax and enter it here, or ignore tax entirely. Please Note: We recommend discussing your specific taxation needs with a CPA.

Do You Want To Sell All Images Retouched For A Bulk Price?
Use this option to allow participants to purchase image retouching on all the images within their gallery for one bulk price.

Selecting "No" will leave your job configured to only sell individual image retouching.
Selecting "Yes" will configure your job to sell retouching in bulk as well as individually.

After enabling, an additional input will appear so you can specify the price you wish to receive for retouching all images within a participant's gallery. You can learn more about "Buy All" purchases here.

Save your changes and your job is now setup to accept payments!

Enabling Download Purchases

Headshot Tools offers the ability for participants to purchase and download images "as is" directly from their gallery.

To enable this feature:

1. Connect Stripe as mentioned above (you only have to do this once).
2. Add a new job or edit an existing job.
3. Set the “Image Downloads” dropdown to “Only X Number Of Images Are Downloadable And Additional Downloads Can Be Purchased”.
4. and fill in the remaining options below.

How Many Downloads Are Included Free Of Charge?
Fill this input in with the number of image downloads that are provided to an individual participant without cost. Providing a positive number here will allow your participant to first pick their included image downloads within their gallery. Once complete, a shopping cart will enable for additional download purchases.

If all image downloads need to be purchased, then enter 0. In this situation, a participant will be shown their shopping cart immediately upon viewing their gallery. You can learn more about overriding this value for participants here.

How To Set Up Automatic Receipts In Stripe

By default Stripe does not email your customers receipts unless you enable them. To enable automatic emailed receipts:

1. Log in to Stripe.com
2. Click the gear icon in the top right corner.
3. In the account settings section, click "Business".
4. Click the "Customer emails" tab.
5. Enable the switch for "Successful payments".

You can always send a customer a receipt manually by navigating to their transaction in Stripe and clicking the "Send receipt" button. Don't see your transactions? See here!

How To Disconnect Stripe

We do not recommend disconnecting Stripe from Headshot Tools while using payments unless you are terminating your account. Please disable all payment options from any existing jobs before disconnecting Stripe. Failing to do so will cause your participants to not be able to checkout when they attempt to purchase images.

To disconnect Stripe, simply click the “Disconnect” button found within the Account page. Disconnecting from Stripe will also disable Automatic Sales Tax within Headshot Tools. If you later reconnect, you will need to re-enable Automatic Sales Tax. Disconnecting Stripe does NOT terminate your Stripe account. If you wish to close your Stripe account, you will need to do so via Stripe.com.

Common Issues / Questions

• Stripe keeps showing Additional Onboarding Needed

  Stripe needs to verify your identity before it will connect. Click the "Resume Connecting Stripe" button to fill in any remaining questions from Stripe. Also, please double-check any inputs for accuracy. It can take a few minutes for Stripe to verify you so might just need to wait a minute or so. Contact Stripe for more information as Headshot Tools cannot verify for you.

• Can I sell retouched images and downloads at the same time?

  This configuration is currently not available. Image Retouch Selection and Limited Download are currently mutually exclusive. Please do not attempt to switch back and forth between the modes to perform both retouching purchases and limited download choices. You will run into situations that do not work. • How do I fulfill retouched purchases?

  The process is the same as hearted retouched images. Please see our retouching workflow help video and page here.

• Am I notified of new purchases?

  You need to enable this feature in Stripe. Learn how here.

• I don't see my purchases in Stripe!

  When you set up Headshot Tools and Stripe, you likely created a secure and isolated sub-account under your existing Stripe login. To switch to you Headshot Tools-specific account and see activity for this account, follow these steps:
  1. Log in to Stripe.com
  2. In the top left of the Stripe dashboard, click on the name of your business. This will expand a dropdown allowing you to change to your other sub-accounts.
  3. Click the opposite account and you'll now be able to find your Headshot Tools transactions!
  Still not seeing your transactions? You might have set up your Stripe account under a different Stripe login. Try logging out of Stripe and signing in with a different Stripe login/email.
