Test Job Help

Setting Up A Test Job

We’re now going to set up a quick test job to make sure that your tethering setup is working. You’ll eventually want to watch the other help videos for the specifics of how everything works but here are some quick instructions to get started.

Step 1 – Add A New Job

Log in to Headshot Tools and click the "Add Job" button in the top right corner of the Jobs page. This will be an Instant Delivery job. Apply the following settings, leaving everything else as is:
  • Job Name – Test Job
  • Client Name – Fake Client
  • Logo File – (Pick any .jpg or .png logo less than 1MB)
Then click "Add New Job".

For more info about these settings, see our "How To Add A Job" help page/video.

Step 2 – Sign Up A New Participant

Alongside your new job in the job list, click the link on the very right titled "Sign Up". Go ahead and fill in the form with a test participant but make sure to use a valid email you have access to. Submit the form, then close the "Sign Up" page.

For more info about adding participants, see our "How To Add Participants / Shoots" help page/video.

Step 3 – Double-Clicking

Alongside your new job in the job list, click the link on the very right titled "Dashboard". You should see your test participant from the prior step in the list.

Now, please double-click on your test participant. When you double-click, two things are occurring for this "Instant" delivery job:
  1. A special file prefix for specifically this participant is automatically copied into your clipboard. Your tethering software will read your clipboard and rename your files. This file name allows Headshot Tools to link your files to a participant on upload later.
  2. This participant will be sent an email with a link to their gallery. It might sound strange to send this email before any images have been shot, but we do this so that by the time your participant is finished being photographed, their gallery email appears "instantly" in their inbox!
For more info about operating the Dashboard, see our "How To Use The Dashboard" help page/video.

Step 4 – Snap Some Tethered Photos!

Make sure you've already set up your tethering software before starting this step.

Go ahead and plug your camera into your computer, launch your tethering software and take a couple shots. You should now see your images appear with the name of the test participant you double-clicked. If you’re not seeing this happen, please review the setup videos for any missing steps.

Step 5 – Export Your Images As .JPGs

Now that your images are ingested and named correctly, let’s convert these RAW files to JPEGs so they can eventually be uploaded to Headshot Tools. This allows you to prevent unflattering images from entering your participant's galleries and much more.

In Capture One:
Select any images you want your participant to receive in their gallery and export by pressing Command + D on Mac or Control + D on Windows.

In Lightroom:
Select any images you want your participant to receive in their gallery and select "Export With Previous".

You should now see files in your export folder that look something like: Smith_John_123-0001.jpg

Step 6 – Set Up Automatic Uploading

Alongside your new job in the job list, click the link on the very right titled "Upload Utility". Next click the green “Select Images Folder…” button. Please choose the folder where your exported jpeg images are located.

In Capture One:
This is the "Location" from when you created your Session, then the "Output" folder, followed by the "Headshot Tools" subfolder.
Ex: /Session Location/Output/Headshot Tools
Please Note: The "Headshot Tools" subfolder will only exist if images have been exported to it.

In Lightroom:
This is the "Folder" found in your "Export Location" section settings. Often named "Headshot Tools" or "HT Watch Folder". The third and final folder from our setup videos.
Ex: /Test Job/Output/Headshot Tools

The auto upload utility will automatically upload any new or modified images. If you aren’t seeing your images get uploaded, make sure you’ve selected the correct folder.

For more info about uploading, see our "How To Upload Files" help page/video.

Step 7 – View A Gallery

Check the Email inbox that you entered in Step 2 for our test participant. You should have an email from Headshot Delivery. Click the gallery link and you should now see your test images!

Congratulations you're all setup and everything is working!

We now recommend practicing the above steps as if you're shooting a job for real and watching the help videos for these specific areas of the system. See any links below each step for more info.

For more info about practicing , see our "Practicing With Headshot Tools" help page/video.

Common Issues / Questions

  • The "Headshot Tools" subfolder is missing
Capture One will create your "Headshot Tools" subfolder upon exporting the first image. Export an image as Step #5 above shows and you should see your subfolder get created. If you're still not seeing this subfolder, make sure you created a "Session" in Capture One, you are looking in the correct parent folder or if using Lightroom, you created this folder like the setup guide shows.
  • Do I need to do these setup steps every time?
Yes! We always recommend you perform the tethering set up steps and steps in the above video before each job you perform. These few minutes ensure you have a 100% successful job every time. We promise it's worth it!
  • My images are showing up sideways in Headshot Tools.
Please double check the folder you selected for uploading via the Auto Upload Utility. This behavior is typical when uploading from the "Capture" folder. Please select the "Output/Headshot Tools/" folder. The "Output/Headshot Tools/" folder is where your exported images are placed. You can see more about this issue here!
  • I'm experiencing intermittent tethering connectivity.
Please see our Tethering Best Practices here.
  • Images aren't showing up in Headshot Tools
No worries! You just skipped a step or two in either the tethering software setup or this video. For the quickest resolution, we recommend entirely starting over with the quick start guide to get back on track. Otherwise, we have a troubleshooting guide here.
