How To Upload Files

Do you need to upload images into Headshot Tools? This article will tell you how! The best part is that no matter what, you only upload images into Headshot Tools in once place, the "Auto Upload Utility". Follow the three steps below to get started!

Step 1 - Launch The Auto Upload Utility
To access the Auto Upload Utility for the specific job you want to upload into:
  1. Navigate to the jobs list.
  2. Click on the “Upload Utility” link to the right of the job.
-OR-
  1. Navigate to the jobs list and click your job’s name.
  2. Click the cloud icon in the "Shortcuts" Panel.
NOTE: Please do not open multiple tabs of the auto upload utility for the same job!

Step 2 - Select Your Folder For Upload
This utility will allow you to select a folder on your computer and upload the contents of it to Headshot Tools automatically. No need to select files individually. To start, click the green button titled "Select Images Folder".

You may be prompted by your web browser to allow access to the folder you selected. Please allow this. It gives HeadshotTools.com the permission to read the files out of the folder you selected for upload.

You may also be prompted if the folder you selected already contains files. It’s very common that you start the auto upload utility at the beginning of a job. At that point, the folder for upload is usually empty. Files existing in this folder may be a sign that you picked the incorrect folder. If you selected the incorrect folder, click Cancel. Otherwise, click “Yes! Upload These Files!”.

Step 3 - Running The Utility
After the above steps, the upload utility will launch into logging view. Here you can see what the auto upload utility is doing while it is running.

  • If you want to continuously upload files as you shoot, simply leave this browser tab open. It will continually check for files every 25 seconds and automatically upload them.
  • If you want to upload one set of files, wait for the utility to finish uploading your files, then you can close the tab.
  • If a file fails to upload for any reason, like the internet drops, don't worry! The utility will automatically retry that file until it uploads successfully.
Please Note: This utility is not compatible with some web browsers. The utility will let you know if you need to switch. We recommend you use Google Chrome for the best experience possible.

How To Continually Upload A Job

You can run this utility before you start performing a job and point it to a folder. Via your tethering software, you can export files to this same folder. The utility will automatically scan this export folder every 25 seconds and upload any new or modified files to Headshot Tools immediately.

To start uploading, follow the "How To Upload Files" steps above, and simply leave the Auto Upload Utility Tab open and running. You can safely minimize this tab or switch tabs in your browser. To prevent chrome from de-prioritizing the auto upload utility tab, we recommend closing any other unneeded website tabs you may have open.

In the event that your internet connection is spotty, the auto upload utility will always continue to retry uploads if they fail.

Participants viewing their galleries will see any newly uploaded or modified files refresh in near real time. Depending on how long it has been since they received their gallery email, it’s possible they may have to refresh the gallery page manually.
Please Note: The auto upload utility is a one-way sync to Headshot Tools. Deleting a file from the folder on your computer will not delete it from Headshot Tools or the shoot's gallery.

How To Upload Retouched Files

The process for uploading retouched files is exactly the same as uploading any other file. The only thing that's different is the file name you give the retouched files.

See our file naming guide to learn how to name retouched files. Also, see our retouching workflow for a step by step look at the entire retouching process.

Common Issues

  • The Auto Upload Utility is not finding any images to upload
There are several common causes of this:

    1) Confirm you have selected the correct folder for upload. This is the number one reason why you will see files not be uploaded.
    2) Confirm you have exported your images to the folder.
    3) Confirm you have exported your images as .jpg, .jpeg, or .png files to the folder. Headshot Tools will not accept RAW files.
    4) Confirm you have named your image files correctly. See our file naming guide here.
  • Images are not uploading
The auto upload utility will only upload images while the auto upload utility tab is open and scanning for new files. Please keep this tab open while you are uploading and do not open a duplicate.
  • If I upload multiple times will I create duplicates?
Uploading a file with the exact same name will overwrite the existing file within Headshot Tools, replacing the file. You will never create duplicates within Headshot Tools unless you upload the same file but it is file named differently. Please note that file names in Headshot Tools are entirely case-sensitive.
  • I'm receiving this error: "Could not upload file due to a connection error or the file was modified while the upload was occurring."
You will only experience this error when you have either an unstable internet connection -or- the file that the utility is uploading is modified while it is being uploaded. A common cause for the second option is if you are using JPEGMini. In either case, don't panic! The upload utility will automatically retry to upload these images for you continually until they are successful. Simply wait for the next upload cycle.
  • The "Headshot Tools" subfolder is missing
Capture One will create your subfolder upon exporting the first image. Export an image and you should see your subfolder get created. If you're still not seeing this subfolder, make sure you created a "Session" in Capture One.
  • Uploading is still not working!
While nearly all upload issues are solved by re-watching our setup videos, we have a dedicated upload troubleshooting guide here that can help walk you through any issues.
  • Will uploading automatically email my participants?
No! Uploading will NEVER automatically email your participants! If you want to email your participants in bulk, please utilize the Mass Notify tool.
