Sign Up Form Help

How To Customize Your Sign Up Form

To customize a signup form:
  1. Navigate to the jobs list and click your job’s name.
  2. Click the three vertical dots icon in the “Job” panel.
  3. Click  “ Customize Sign up Form”.

How To Add Custom Fields To You Sign Up Form

To add a field, click the corresponding green add button for a field type.
NOTE: You cannot remove or edit any of the standard fields for first name, last name or email.

Custom Fields Types

You can add fields of the below types:

  • Divider – Organizes chunks of field inputs. Say you had a few text box fields in a row all asking about employee information. It would be typical to place a Divider field at the top of all those fields, labeled “Employee Information”.
  • Small Text Box – Used for questions you want to ask the participant that have small responses. For example, Employee ID Number. This field can accept responses of 255 characters or fewer.
  • Large Text Box – Used for questions you want to ask where the answer requires more input from the user. Use these fields for questions such as “How are you enjoying the conference?”. This field can accept responses of 3,000 characters or fewer.
  • Checkbox – Primarily used for asking Yes / No questions. You typically use this field to have participants accept model releases or join email lists. You might enter a field labeled something like “I agree to the model release” and place the model release text in the "More Info" textbox. This "More Info" field can hold 4,000 characters or fewer.
  • Dropdown – Typically used for questions that require a standardized response. Use this field to have participants answer guided or multiple choice questions. This field can hold 1,000 characters or fewer where each line within the textbox will represent a different dropdown choice.
All input fields have the ability to be selected as a required field. Fields marked as required will make sure the user enters data or checks the box before being allowed to submit their sign up form. Fields not marked required will be optional.

You can reorder the list of fields by clicking and dragging on the 3 bar handle icon in the top left of each field.
NOTE: If you set up a custom sign up form and have accepted responses from participants, we do not recommend you modify the order of these fields after this point. The positions of the fields data in the CSV file are stored at the time of sign up. Modifications later will only be reflected from that point forward.

You can also remove a field by clicking the icon in the top right of a field.

These field customizations will also apply to the Booking form found within the Headshot Tools Scheduling module.

How Do I See The Customized Responses?

When a job is complete and you would like to review the information captured by the signup form:
  1. Navigate to the job you want responses from.
  2. Click the three vertical dots icon in the “Shoots” panel.
  3. Click  “Export CSV”.
All of the custom field data will be displayed within the final columns of the spreadsheet. You can see more about the CSV Export here.

How To Change The Sign Up Form Confirmation Message

Below the custom fields panel is the "Sign Up Confirmation Message" panel. Here you can optionally specify a short message to display to participants after they sign up. We recommend keeping this message either unchanged or as short as possible. This field is limited to 255 characters.

Please do not provide detailed or overly important instructions to your participant here. This message is only displayed for a short amount of time after sign up and often ignored by participants.

This setting pertains only to the main sign up form and does not apply to the Headshot Tools Scheduling module. See our scheduling customizations help page here to change the scheduling confirmation message.
